We can make these visits for you, but depending on location, travel costs may outweigh the benefit. And, we ultimately want the referring offices to bond with your people! If you have a person identified, we can train them. And, we can even make the first round of visits with your salesperson or clinical leader, then hand off for ongoing follow-up. This builds continuity and trust with referring offices.

Pro tip: Schedule visits on Tuesdays, Wednesdays, or Thursdays—not Mondays or Fridays. Avoid days around holidays. No one wants to see a salesperson when they want to be elsewhere!

If we’re booking visits on your behalf, we’ll need a range of dates and times, so we can give a confident “yes” to times offered. And here’s a key insight: using a medical director for introductions dramatically increases your chances of getting the meeting. Staff say “yes” a lot more often to doctors than to salespeople.

Before we make the first call, your website and social media need to be live. Practices will Google you while we’re on the phone. You also need easy-to-share materials—digital and print—including:

Here’s the timing we recommend for a smooth ramp-up:

  • 5–6 weeks before opening: Start creating and scrubbing your referral list. Finalize your marketing materials, website, and social media.
  • 3 weeks before opening: Begin outbound calls, faxes, and emails to schedule meetings.
  • 1–2 weeks before opening: Start your in-person visits. Make sure your team is ready to accept referrals and schedule patients. It’s “negative marketing” if you build excitement, then can’t take a referral.
